✍️3 Practical Ways to Generate Summary with ChatGPT

PLUS: Tips on writing better business summaries

You've probably heard of ChatGPT by OpenAI. Maybe you've tried it or considered using it for your business. But are you truly leveraging ChatGPT to its full potential? Is it making your tasks easier and helping your business grow? ChatGPT acts like an additional team member, always on standby to assist with writing content, brainstorming ideas, or handling customer service.

If you're overwhelmed by reports, documents, and meeting notes, ChatGPT can be a lifesaver. It's incredibly useful for creating concise, high-quality summaries of lengthy materials.

In this blog, we'll explore how to use ChatGPT to summarize long documents or texts, potentially saving you hours of work. Currently, there are 3 main ways to utilize ChatGPT for summary creation.

1. Summarize Texts Quickly Using ChatGPT

This method is straightforward. Just copy your text, paste it into ChatGPT's message box, and request a summary.

2. Use ChatGPT for Summarizing Online Articles

If your text is online, simply paste its URL into ChatGPT’s message box and request a summary. However, this requires ChatGPT Plus, the paid version, which includes web browsing capabilities. Be aware that some websites restrict chatbot access, so this method might not always be effective.

3. Summarizing PDF Documents with ChatGPT

If you have a document in PDF format, you can upload it and ask ChatGPT to summarize. Additionally, you can pose questions about the PDF's content. ChatGPT will offer insights based on the information contained in the document.

How to write an effective ChatGPT article summary prompt

✔️ Specify the desired length of the summary: If you have a word limit or prefer the summary to be within a certain length, it’s helpful to include this information to ensure the response meets your expectations.

💭 Example: "Please keep the summary under 200 words", “The summary should be 150 words max” or “Write a 300 word for this article”.

💡 Tip: Prompting involves trial and error, and there are multiple ways to achieve a goal. I don't always specify the summary length. Sometimes, I let ChatGPT create a summary and then request it to adjust to the desired length for a better-quality summary.

✔️ Ask for any additional insights or analysis if needed: If you're not just looking for a straightforward summary but also want ChatGPT's insights on the article’s implications, relevance, or any connected ideas, mention this too.

💭 Example: "Besides summarizing, please provide any insights on how these trends might impact the energy sector."

💡 Tip: You can request ChatGPT to format summaries in various styles, like tables, checklists, or bullet points. Ask for the format that best suits your needs!

✔️ Specify the type of summary: If you’re looking for a specific type of summary (e.g., key points, thematic summary), mention this in your prompt. Also, if the article is long or covers multiple topics, you might specify which part or aspect you’re most interested in.

💭 Example: "I need a summary focusing on the main findings and conclusions."

💡 Tip: If ChatGPT's summary doesn't fully meet your expectations, you have options. Click the regenerate button for a new response, or provide more specific instructions on how you'd like the summary to be. Experiment with different methods to find what works best for you!

🧙 5 Summary Writing Prompts for Entrepreneurs and Small Business Owners

👇️ Consider using these prompts for your next summary writing tasks! The word in [ ] can be swapped out to suit your needs.

1. "Please summarize the key strategies for [increasing online sales] from the article I've provided. Focus on tactics that can be easily implemented by small businesses with limited budgets. Include any case studies or real-life examples mentioned. Write a summary of [100] words."

2. "Summarize the main findings of the [latest market research report on customer preferences] within the [retail] sector. Highlight significant trends and how small businesses can adapt to these changes. I'm particularly interested in insights related to [online shopping habits]. 3. "I need a quick summary of the top [5] digital marketing tools recommended for small businesses, as discussed in the article. 4. "Can you condense the article on [time management techniques for entrepreneurs] into a brief overview? Highlight the techniques that are most effective for managing multiple projects simultaneously. Also, include any tips on avoiding burnout. I'm looking for a summary of around [120] words."

🤖 ChatGPT Limitations

  • Length: ChatGPT has a limit on how much text it can process at once, and this limit might change. If your text is too long, you can't paste it all into ChatGPT at once. Instead, you can split a long document into parts. This approach takes more time but can help you manage large texts.

  • Privacy issue: Avoid sharing sensitive information with ChatGPT. You wouldn't want confidential business details to become public. Anything you share with ChatGPT becomes part of its data bank. This caution applies to all AI chatbots and online platforms.

🤓 Do Your Due Diligence

AI technology, including ChatGPT, is in its early stages and isn't perfect yet. Always review summaries for accuracy before using them. ChatGPT and similar chatbots can sometimes "hallucinate," mixing false information with accurate details in their responses.

Given these risks, it's crucial to use ChatGPT as a preliminary tool. Ensure you supplement any ChatGPT-based research with information from reliable sources.
